PeopleAdmin- The New Process

The Academic Systems Team recently revamped the process by which faculty hiring forms are processed eliminating the use of the eDocLite system to be used for the former VACANCY NOTICE, INTERVIEW REQUEST, and OFFER REQUEST. As such, the PeopleAdmin application is used soley to eliminate the need for duplication of efforts. All information for the three forms will be combined on the new PeopleAdmin document, with an OAA# that is generated by the system when created. 

The Office of Academic Affairs has modified this system, having search committee chairs/department chair/department assistant follow the steps below:

  1. Complete the FACULTY POSTING at Microsoft Form (https://forms.office.com/r/dzGFijTK9t)
  2. The data from the FACULTY POSTING will be entered into a new PeopleAdmin posting. 
  3. Once the search committee has reviewed all applicants, they will then submit the INTERVIEW REQUEST through PeopleAdmin and route for approvals. This is done on the initial FACULTY POSTING document.
  4. When the time comes to make an offer to the successful person, the search committee will (once again) access the PeopleAdmin FACULTY POSTING and complete the OFFER REQUEST, and route for approval.

The Academic System team together with PeopleAdmin have completed the Go-Live implementation of our EDL replacement and PeopleAdmin project this weekend and the system is up, available and ready for use.

Hi Group-

We wanted to send a follow-up note with regards to the EDL replacement and PeopleAdmin Project and to notify you that the Go-Live Date for this project has been changed to July 29 due to the availability of our PA implementation consultant and team.

We have now set up several Training session webinars over the coming weeks leading up to the Go-Live Date.  Please take a moment to register for a session listed below:

We are also planning to set up School Approver access in our production site throughout July in preparation for our Go-Live. If you do not currently have an account in PeopleAdmin you will receive an automated email notification once your account/role is setup. You do not need to take any action on that notification before the July 29 cutover date.

You are receiving this email because you are an initiator or approver of our existing eDocLite Academic Position Search documents (Vacancy Notice, Interview Request, Offer Request, and Waiver Request).

The Academic Systems team is currently working on integrating our current process into our existing PeopleAdmin Applicant Tracking System due to the planned eDocLite/Academic Position Search application retirement by UITS.

Our team has been working with a PeopleAdmin implementation team to integrate the Vacancy Notice and Interview Request into our existing PeopleAdmin Posting Form and enable the workflow within the PeopleAdmin application to replicate the approval and routing functionality of the eDocLite system. Further, we have created a new Position Type to capture the form and workflow to replicate our existing Waiver Request process. Finally, we will also enable the PeopleAdmin “Hiring Proposal” form and workflow to match our current Offer Request process. Once we go-live with the new functionality, the approval of these Academic Position Search documents will be completed in the PeopleAdmin application rather than via your current ‘Action List’.

We plan to switch over to the new routing and approval system within PeopleAdmin on July 15, 2022. We will also host several training webinar/zoom sessions for each campus in the coming weeks and provide documentation and guidelines to further assist with this transition. We will be sending a follow-up email with additional details to sign-up for the training sessions in the coming days.
